  Job Description:

• Assist in overall day to day administration and operations matter;
• Assist in Procurement Process;
• Keep up to date inventory record of expendable & non-expendable assets and items;
• Assist in required recruitment process and contract management;
• Maintain time sheet and leave record of staff;
• Initiate payment process in due time for service provide and suppliers;
• Keep record of payment;
• Assist in drafting project progress financial reports and documents, including fund installments and
monthly expenditure reviews;
• Guide implementation partners on preparation of financial reports as per the UN-Habitat
• Assist for preparing project budgets;
• Keep record of common operations cost by projects;
• Assist in logistical arrangements for national and international travel including obtaining security
clearances, booking tickets, visas and assisting staff in preparing and processing travel claims;
• Provide logistical support for conducting meetings, workshops and trainings;
• Maintain administration and programme related filing system (soft copy and hard copy);
• Responsible for all secretarial duties required by the project;
• Participate in UN Joint Admin, Procurement and Finance Working Groups;
• Assist other UN-Habitat Programmes in overall Administrative and Financial in day-to-day operations;
• Consider the activities from the Gender Equality and Social Inclusion (GESI) sensitivity perspectives.
• Keep ethical value in every performance;
• Perform other duties as assigned by the Administrative and Finance Officer; Project Officer and Head
of Office.

Required Knowledge, Skills, and Abilities
  • Excellent knowledge (spoken and written) in English and Nepali language is required.
  • Good working knowledge of Computer including MS Word, Excel
    and Power Point. Nepali typing will be additional benefit. Good
    working Knowledge in Photocopying, Scanning, Binding etc.
  • Professionalism: Sound Knowledge and Skill on the
    accounting and problem-solving skills,
  • Ability to handle a situation.
  • Experience on financial monitoring and auditing process by
  • Able to work both independently and as part of a team in a
    multicultural environment and establish harmonious and
    effective working relationships both within and outside the
  • Teamwork: Ability to establish and maintain effective
    partnerships and working relations in a multi-cultural,
    multi-ethnic environment with sensitivity and respect for
  • Planning & Organizing: The candidate should be able to
    develop workplan and strategy for quick and correct
    information and to finish all duties within the given
  • Client orientation: Experience in working with diverse
    working environment is required. Capable of working in a
    team and undertaking initiative to ensure smooth relations
    and open communication within the team and with
    partners is required. Professional and courteous attitude
    and demonstrated ability to work effectively in a stressful
Education + Experience
  • Certificate level / Plus 2 in business studies, commerce, and related fields. Or
  • Bachelor’s degree in business studies, commerce and related field is preferable
  •  Minimum 5 years work experience for Certificate level /
    Plus 2 in business studies, commerce, and related fields
  • Experience of working with UNITED NATIONS system and
    other international organizations/ projects will be
    considered as an advantage.
